2. The information we may collect about you

The information we collect will depend on the services you ask us to provide.

Because mortgage and protection advice requires us to understand your circumstances in detail, we may collect information including:

  • telephone number and email address;
  • nationality and residency information;
  • marital or civil partnership status;
  • information about your family and dependants;
  • employment status and employment history;
  • employer details;
  • salary, bonuses, overtime and other income;

We may also obtain information about you from third parties where appropriate, including lenders, insurers, credit reference agencies, identity verification providers, estate agents, solicitors, accountants and other professional advisers.

3. Special category information

If you ask us to advise you about protection or insurance products, we may need to collect more sensitive information about you. This may include information concerning your physical or mental health, medical conditions, medical treatment, medical history, family medical history, lifestyle information relevant to an insurance application, and other information required by an insurer to assess an application.

Health information is classed as special category personal data under UK data protection legislation and receives additional protection.

Where we process special category information, we will ensure that we have both an appropriate lawful basis for processing your personal information and an appropriate condition for processing special category data. Where required, we may ask for your explicit consent before obtaining or processing certain medical or health information.

Depending on the services you require, we may share your information with Stonebridge Mortgage Solutions Limited, including for compliance, regulatory oversight and administration; mortgage lenders; banks and building societies; insurance and protection providers; specialist mortgage and finance providers; credit reference agencies; identity verification and anti-money laundering providers; fraud-prevention agencies; estate agents; solicitors and conveyancers; surveyors and valuers; accountants and other professional advisers; product sourcing and research providers; technology, CRM, document-storage and communications providers; regulatory or governmental authorities; the Financial Conduct Authority; the Financial Ombudsman Service; law enforcement agencies where required; our professional advisers, auditors and compliance providers; and other organisations where you have asked or authorised us to share your information.

We will only share information where there is a legitimate reason for doing so and will only disclose information reasonably necessary for the relevant purpose. We do not sell your personal information.

8. Credit searches and identity verification

Mortgage applications may involve credit searches and identity checks. A lender or other provider may search your records with one or more credit reference agencies. Some searches may leave a record on your credit file which can be seen by other organisations.

We may also use electronic identity verification or anti-money laundering services to confirm your identity and comply with our legal and regulatory obligations.

9. Marketing

We may contact you about our services where you have consented to receive marketing or where we are otherwise permitted to do so by law. Where consent is relied upon, you can withdraw that consent at any time by contacting info@nellmo.co.uk or using any unsubscribe facility included in our electronic marketing communications.

Stopping marketing communications will not prevent us from contacting you where necessary in connection with an existing enquiry, mortgage, insurance policy or other service.

10. How long we keep your information

We will not retain personal information for longer than is reasonably necessary. As an FCA-registered financial services business operating as an Appointed Representative, we may be required to retain information relating to advice and applications for extended periods to comply with regulatory, legal and compliance obligations.

The precise retention period depends upon the service provided, product type, regulatory and contractual requirements, potential complaints or legal claims, and instructions or requirements imposed through our regulatory network.

Where information is no longer required, we will securely delete, destroy or anonymise it in accordance with our retention procedures.

Some organisations providing technology, communications, hosting or other services to us may process information outside the United Kingdom. Typically, we charge a fee of £695 for arranging your mortgage. The precise amount will depend on your circumstances and the complexity of the mortgage being arranged. This will be confirmed following our initial discussion.
